The National Executive consists of the President, Immediate Past President, Vice President, National Treasurer, National Website Coordinator, National Publishers' Liaison, Continuing Professional Development Coordinator, State and Territory Presidents and Editor of the Australian Law Librarian.

ALLA National Executive Position Descriptions

President

Duties include:

  • Chair National Executive meetings
  • Chair Annual General Meeting
  • In conjunction with other members of the executive, formulate policy
  • Official spokesperson on all matters pertaining to the Association and its objects
  • Represent the Association to national and international bodies
  • Negotiate sponsorships
  • Advertise ALLA scholarships
  • Attend the American Association Law Librarians (AALL) conference

Immediate Past President

Duties include:

  • Support and instruct President regarding issues of relevance to the group
  • Represent the Association on behalf of the President, when required
  • Liaise with President and Vice President regarding past issues

Vice President

Duties include:

  • Support the President in carrying out his/her duties, as required
  • Represent that Association on behalf of the President, as required
  • Attend New Zealand Law Librarian Group conferences

Treasurer

Duties include:

  • Administer ALLA finances
  • Maintain a register of members, provided by each Division by 31 July each year
  • Make available for inspection the register of members if requested to do so
  • Ensure that correct books and accounts are kept showing the financial affairs of the Association including full details of all receipts and expenditure connected with the activities of the Association
  • Ensure security of all books
  • Administer legislative requirements relating to finance for the group, including BAS, etc.

Secretary

Duties include:

  • Ensure minutes to be taken at meetings;
  • Distribute minutes and reports to committee members and ensure annual reports are delivered for
  • addition to the web site;
  • Maintain common seal, all records, books files and other documents relating to the Association
  • Maintain current record of the names and addresses of the persons who hold the offices of the Association provided for in the Rules
  • Upon request of a member, make available for inspection of that member the Rules and required records
  • Ensure the Association is compliant with the rules of Incorporation
  • Administrative tasks as required

Web Coordinator

Duties include:

  • Maintain and develop the Association's website (some knowledge of html and other web technologies required)
  • Liaise with divisional web coordinators
  • Liaise with web service provider
  • Administration of the ANZ listserv
  • Advise list members about adherence to the code of conduct, when necessary

Australian Law Librarian - Editor

Duties include:

  • Ensure the publication of the Australian Law Librarian
  • Attend and chair ALL editorial committee meetings
  • Liaise with authors and contributors
  • Contact for all issues related to the journal; and
  • Liaise with Business Manager regarding the financial administration of the journal
  • Tender annual reports

Publishers' Liaison Cooridnator

Duties include:

  • Monitor the publishing and pricing activities of legal publishers;
  • Lobby for service and resource improvements that have an impact Australia-wide;
  • Aim to develop links with legal publishers, enabling effective two-way communication on issues of concern to ALLA members
  • Liaise with Divisional Publisher Liaison Representatives

Continuing Professional Development Coordinator

Duties include:

  • Assessing the continuing education needs of members
  • Providing a support and referral service for state Coordinators
  • Liaise with National Website Coordinator to develop website content
  • Liaise with information and program providers to distribute products
  • Provide reports to National Executive on development and progress of the position.

Divisional President/State Convenors

Duties include:

  • Chair ALLA Division meetings and attend Executive Committee meetings;
  • Spokesperson for the Division
  • Represent the Division at events including ALLA National Executive Committee meetings
  • Liaise with Presidents/state convenors of other divisions and the National President of the ALLA
  • Report back to the Divisions on a regular basis
  • Liaise with other professional associations and represent the Division on various boards and committees

Committee responsibilities

As required by the Rules of Incorporation (applies to all positions):

  • Formulation and implementation of the policies, management and conduct of the affairs of the Association
  • Ensure the activities of the Association are consistent with its Objects
  • Dissemination of relevant information to the Divisions
